Beginner’s Guide: Using Sway for Dynamic Presentations

Microsoft Sway is designed to be user-friendly, allowing anyone to create stunning, interactive presentations without advanced design skills. Here’s how to get started and make the most of its features.

How to Access Sway

Sway is a web-based application available through Microsoft 365 or directly at https://sway.cloud.microsoft/. Simply log in with a Microsoft account to start creating presentations from any device - no software installation required.

Getting Started

Once logged in, you’ll be able to select from a few options.

  • Begin with a pre-set template for an internal or external newsletter, how-to presentations and more.
  • See examples of presentations and documents to inspire you.
  • Click “Create New” to begin building a design from scratch
  • “Start from a topic” allows you to type in keywords and choose an initial outline and design based on the topic of your choice.
  • “Start from a document” allows you to upload documents and Sway’s AI begins a presentation and design for you that is fully editable.

Storyline vs Design

When designing a presentation, there are two tabs you’ll be working in, Storyline and Design. Storyline is where you organize and add content blocks. Think of it like a storyboard. In the design tab AI formats your content into a visually appealing layout, however you can manually adjust colors, fonts, and styles to make your brand and theme.

Adding Content to Your Sway Presentation

Sway supports a variety of content types to make your presentations more engaging:

  • Text: Add headings, paragraphs, and bullet points to structure your content.
  • Images & Videos: Drag and drop files or pull from built-in sources like Bing, YouTube, and OneDrive.
  • Embedded Media: Include social media posts, charts, maps, and other interactive elements for a dynamic experience like comparison sections and grids.

Design Options

In the design tab, you have options such as making your design vertical, horizontal, or traditional slides. You can also adjust color palettes, fonts, and animations.

Previewing and Sharing Your Sway Presentation

Once your content is added and designed, you can preview your Sway to see how it will look to viewers. Adjust the design if needed, then share your presentation effortlessly:

  • Share via Link: No need to download files—just generate a shareable link.
  • Embed in a Website: Easily integrate Sway presentations into web pages or blogs.
  • Control Access: Choose whether your presentation is public or restricted to specific viewers.

How Sway Differs from PowerPoint

While both Microsoft Sway and PowerPoint are presentation tools, they serve different purposes and offer unique advantages. PowerPoint is a structured, slide-based tool designed for detailed, sequential presentations, whereas Sway is a modern, interactive platform focused on storytelling and fluid content display.
